Requirements

Qualifications required:

  • A good level of education
  • To be computer literate with IT skills including Excel and Word.(not essential)
  • GCSE or equivalents in English and maths A*- C / 4- 9 these qualifications are desirable but not essential

  • Excellent communication skills (both written and verbal), with a dedication to client care
  • To be computer literate with IT skills including Excel and Word or willing to learn
  • High level of attention to detail
  • Keen interest in law
  • Ideally you will have some working experience within an office environment

Training provided:
NVQ Level 2 Diploma in Business Administration

Description:

This is an excellent opportunity to work in a busy solicitors office. Within this role you will assist in the day to day running of the office.

  • Assisting with the sorting, recording and distribution of incoming and outgoing post
  • Responsible for timely despatch of all outgoing correspondence including franking and delivery to Post Office and DX Exchange
  • When required, the effective and efficient processing of all incoming telephone calls and general reception duties
  • Maintaining the cleanliness and presentation of all areas, particularly Reception, at all times. Report any defects or maintenance requirements
  • Attending clients and visitors to the office
  • At direction, retrieval of files and deeds and Wills
  • Accurate logging or removal of files and deeds and Wills
  • Logging stationery and consumable deliveries and store away
  • To act as courier within York and to Court for urgent deliveries/collections
  • Distribute to Legal Advisors/Secretaries the receipts for all cash and cheques received at Reception
  • Carrying out weekly Fire Alarm tests
  • Carrying out office shopping
  • Ensuring privacy and confidentiality at all times
  • General administration duties including photocopying and distribution of copies
  • Carrying out scanning of closed wills files for all Offices
  • At direction, retrieval of files, wills and deeds and updating corresponding records
  • Logging, checking rotation of stationery supplies and consumables
  • Setting up drinks, catering and rooms for meetings as required
  • At direction, photocopying and/or scanning for staff and clients
  • Undertaking general office maintenance and repairs as directed
  • Various other day to day administrative duties across the firm
