Requirements

Qualifications required:

  • GCSE in maths and English at grades A*-C/4-9 or equivalent are essential.

Desired skills:
  • High standard of written and verbal skills
  • Be able to demonstrate some administrative experience
  • Be able to demonstrate organisational and planning skills
  • Ability to communicate clearly at all levels and deal with telephone calls and visitors to the business, in a polite and informative manner
  • Ability to keep accurate records and produce statistical information as required
  • Ability to use own initiative, be proactive and manage own workload
  • Ability to work as part of a team
  • Have experience in the use of MS Office

Training provided:

Level 2 apprenticeship in Business Administration, which includes:
  • Level 2 Diploma in Business and Administration
  • Level 2 Technical Certificate
  • Level 1/2 Functional Skills in English and maths (if required)
  • Employee Rights and Responsibilities (ERR)
  • Personal Learning and Thinking Skills (PLTS)
You will have access to your own online e-portfolio to monitor your progress and access resources. You will be assigned a Trainer who specialises in teaching and delivering the Business Administration qualification; they will be with you during your sessions in the centre and also make regular visits to see you in your place of work. Sessions are kept small to ensure each learner gets the correct support and guidance throughout the duration of their apprenticeship.

Description:

The Business Administration Support Apprentice role is a key position at the Insight Group reporting directly into the Operations Manager but providing support for the wider Leadership team and the business in general.

  • First point of contact for calls coming into the business on the general company number - Transferring or taking messages. Also, picking up and distrusting messages left on the voicemail
  • First point of contact for visitors to the office - Meet and greet visitors coming into the office and advising/directing them accordingly
  • Key Performance Indicators (KPI’s) - Weekly and Monthly collation of the data and distribution to the business
  • PeopleHR - Provide administration support where necessary within our HR management system
  • Managers meetings - Booking the meetings, organising agendas, etc
  • Interviews - Helping facilitate, welcoming candidates, facilitate tests, etc
  • Post - Distribution of incoming post and manage the outgoing post
  • New starters - Ensuring all relevant forms are completed, distribution and monitoring of keys, help organise attachments, etc
  • Stationary - Own the Stationary requirements of the business this covering, keeping the stationary room orderly, stock taking and ordering (Inc. Tea and Coffee)
  • Monthly Performance Boards - Setting the room up, ensure relevant data is in place for presentations
  • Training Admin - Providing support as and when required along with keeping records up to date in PeopleHR
  • Client visit facilitation - Meet and greet – organise refreshments
  • Monthly Employee Awards - Manage the admin around the Monthly awards (Whale Done) – Collate nominations, arrange the certificates, etc.
  • Gym Membership - Help manage the relationship with the local Gym that the business uses
  • Locking Up Procedure - Own and manage this
  • CEO’s Lunch and refreshments - To organise this when CEO is in the office
  • Pool Car ownership - Booking in/out with employees plus any other admin related to this
  • Meeting Rooms (Inc. Boardroom and Training Room) - Managing room bookings and ensure that all meeting rooms are orderly and equipped.  Also, provide assistance where needed in setting up the Training Room
  • Water orders - Point of contact for our provider including sorting water deliveries coming in and out of the business
  • Leavers - Organise Exit interviews, processing on People HR, ensure assigned benefits are cancelled, etc
  • Good news TV - Collate details from the business around Good News and ensure the screens around the business are displaying this
  • Travel - Assist with the Travel arrangements - Booking hotels, etc
  • Library - Ensure that the office Library is kept in order
  • Photo Tree Updates - Ensure the relevant board is updated with joiners, levers and people moving around the business
  • Fruit/Milk – Be the contact for the Fruit/Milk deliveries into the office, organising payment along with the items are placed where needed
  • General Admin Support - To provide general support around the business as and when required with regard to administration tasks that are required
