Qualifications required:

  • GCSE or equivalent English and maths grades A*-C or 4-9

Desired skills:
  • Experience of Microsoft Office including Word and Excel(would be useful).
  • Good English grammar/spelling, familiarity with legal terminology and numerical skills
  • Ability to organise and prioritise workloads to the required standard and within the required timescales
  • Ability to work effectively within a team as well as independently
  • Ability to work under pressure as and when required (this may involve some flexibility in working hours)
  • Proactive and able to use own initiative within guidelines as set by the Directors and Head of Department

Training provided:
Level 3 Business Administrator apprenticeship standard, which includes:

  • Level 2 Functional Skills in English and maths (if required)
  • Employee Rights and Responsibilities (ERR)
  • Personal Learning and Thinking Skills (PLTS)
You will have access to your own online e-portfolio to monitor your progress and access resources. You will be assigned a Trainer who specialises in teaching and delivering the Business Administration qualification; they will be with you during your sessions in the centre and also make regular visits to see you in your place of work. Sessions are kept small to ensure each learner gets the correct support and guidance throughout the duration of their apprenticeship.


The prime role of the Office Assistant is to provide direct support to the Residential Conveyancing and Probate department to enable them to operate efficiently.

  • Provide support and assistance in the smooth operation of the dpeartments.
  • Maintaining the client and contact database: keeping contact details (name, address phone numbers etc) up to date, ensuring contacts are not duplicated
  • Collating new file instructions: collecting in documents required to open a new case file
  • File opening: creating the client / matter records for Partner
  • Adding Matter Contact Details: adding the matter contacts (beneficiaries, agents, solicitors etc)
  • Updating Identity Documents: adding the ID proofs into the system when received and / or chasing if client or contact has not sent them in
  • Online Identity Checks: doing SmartSearch searches and adding the results into Partner
  • File Archiving: including doing some of the preparatory work on the File Closure Checklist
  • Postal guties: scanning incoming post and filing
  • Sending original documents to clients and other firms
  • Ensure the positive representation of the firm in all dealings with clients and others
  • Any other reasonable duties which you may from time to time be asked to perform
